EMERALD TUTORS T&Cs

Emerald Tutors collects and processes only the minimum necessary personal data for educational purposes such as teaching, learning support, pastoral care, and performance monitoring.
Data is collected fairly, used lawfully, and shared only when legally required or with consent.

All staff are responsible for securely handling personal data. This includes password protection, encryption for portable devices, secure storage, and proper disposal.
Access is restricted to authorized personnel, and risk assessments guide protective measures.

Individuals have the right to access, correct, or request deletion of their personal data.
Requests can be made to the Data Controller, and data subjects are informed of their rights through a Privacy Notice provided at enrolment and available on the company’s website.

All tuition fees must be paid in full at least 7 days prior to the course start date. For bookings made within 7 days of the course, payment is due immediately upon registration.
We accept payment via BACS.
Late or missed payments may result in suspension of tuition and may incur additional charges, including interest on overdue amounts.

We understand that family schedules can change. Our cancellation policy balances flexibility for families with fairness to our tutors.
Holiday Courses & Camps: Cancellations must be made at least 1 month in advance. A £50 non-refundable deposit is required to secure a place.
Failure to meet notice periods will result in the full fee being charged.

Emerald Tutors places the safety and welfare of children at the centre of everything we do.
All tutors undergo enhanced DBS checks and follow our comprehensive Safeguarding Policy, in line with national guidelines.
Tutors receive safeguarding training and are monitored for professional conduct.
Any concerns can be reported confidentially to our designated safeguarding lead (DSL) at ella@emeraldtutors.co.uk.
We work closely with families and, where applicable, schools or authorities, to ensure all students are safe, respected, and supported.

We are committed to providing safe and secure learning environments.
We collect and securely store relevant medical and allergy information for all students.
Tutors are trained to identify and report any health or safety risks.

We uphold a professional, respectful, and inclusive learning environment for all.
Tutors and students are expected to behave respectfully, with kindness and patience.
Bullying, harassment, or inappropriate behaviour of any kind will not be tolerated.
Any misconduct will be addressed promptly and appropriately, in line with our behaviour and complaints procedures.
